Planning with outdoor conditions

Solomia Events, operated by Solomia Design LLC, plans outdoor services around the location, equipment, guest needs and the weather information available. A forecast is guidance, not a guarantee that an event is safe, confirmed, cancelled or entitled to a particular financial outcome.

Before accepting a proposal or making a payment, review the event-specific weather arrangements together with the cancellation and change terms.

What the website forecast means

A forecast shown with an inquiry is a general outlook for the selected service area and available forecast period, not a precise prediction for a particular table or stretch of beach. Forecasts change, and reliable date-specific information may not yet exist for a distant event.

A saved forecast is a snapshot at its displayed check time. It is not continuous monitoring. Missing or outdated information must not be interpreted as good weather. An automated advisory does not replace a human planning review, current official guidance or conditions at the site.

Conditions considered

• Thunderstorms, lightning, official warnings and unsafe travel conditions.
• Sustained wind and gusts affecting canopies, umbrellas, textiles, decorations and other equipment.
• Rain, standing water, wet sand and safe access for guests and staff.
• Heat, humidity, sun exposure, air quality and appropriate shade or hydration.
• Tides, surf, beach erosion, high water and the usable setup area.
• Tropical systems, evacuation orders, beach or property closures and emergency restrictions.

Equipment and location limits differ. A universal wind speed or rain percentage cannot safely determine every setup. Manufacturer limits, site requirements and official directions take priority over an aesthetic plan.

Lightning and immediate safety

A beach canopy, tent, cabana or umbrella is not lightning shelter. If thunder is heard or lightning threatens, leave the exposed area for a substantial enclosed building with wiring or plumbing, or a fully enclosed, metal-topped vehicle with its windows closed. Allow at least 30 minutes after the last thunder before considering a return, and follow any stricter official instructions.

These points reflect National Weather Service lightning guidance and do not make the website an emergency service. In an emergency, call 911 and follow local authorities.

The plan agreed for your event

Your event documents must identify the expected forecast-review and communication arrangements, reachable contacts and who coordinates decisions with the client, venue and vendors.

They must also identify any reserved backup location, modified setup, postponement option, equipment limits and associated cancellation, credit, refund or vendor-cost treatment. An indoor venue or alternative date is not automatically included.

We may need to pause or modify setup when conditions are unsafe or official restrictions apply. We will communicate about the affected services and feasible options. No party is expected to proceed contrary to an emergency direction.

Changes and financial treatment

Weather does not automatically create a universal refund, nonrefundable charge or credit. Accepted event-specific terms and applicable law govern those outcomes, including differences between a client change of preference, a safety decision and a site closure.

A relocation, new date, reduced service or substitute arrangement must be confirmed in writing, including any change in price. Do not assume a proposed alternative has been reserved.
