Frequently asked questions
Specific answers before a specific proposal.
Understand the planning model, starting prices, site realities, weather decisions, vendor roles, and the terms that still require event-level confirmation.
Section 01
Booking and planning
What does Solomia Events do?
You can request any experience in our South Florida collection: picnics, cabanas, proposals, dinners, celebrations, corporate gatherings, or a custom idea. Every request is reviewed personally. We confirm what we can provide, the location, date, and price before booking; if a service is not currently possible, we will tell you.
Can the guest count change after booking?
Request changes as early as possible. Tell us the revised guest count so we can review seating, access, equipment, staffing, and price. A larger-group inquiry is welcome, but a change to an existing booking is accepted only when the revised scope is confirmed in writing.
How far in advance should we book?
Share your preferred date early so equipment, site access, providers, and the weather plan can be reviewed. Larger events, weddings, custom fabrication, and multi-vendor requests can require more preparation. No lead time or date is guaranteed before written confirmation.
Is a date held when I submit an inquiry?
No. An inquiry or nonbinding estimate does not confirm availability or reserve a date. A date is reserved only after you accept the written event proposal and complete any booking steps stated in it.
What is the cancellation policy?
Cancellation, rescheduling, vendor, weather, and refund terms are specific to each event. Review them in the written event proposal before accepting it or making a payment.
Do all website images show completed Solomia Events events?
No. Illustrative imagery shows the intended style and atmosphere; it is not a promise of an identical setting, inventory, or location. Event photography is published only with permission and verified context.
Section 02
Pricing and estimates
What does “Starting at” mean?
It is a planning baseline for the package, not a final event price or confirmation of availability. Location, parking, carry distance, guest count, site requirements, timing, and requested additions can change the total. The team confirms the deliverable scope and price in a written proposal.
Is the estimate from the planning form binding?
No. The planning form provides a nonbinding estimated range for the options you request. Final pricing appears in a written event proposal only after availability, the date, location, setup details, logistics, fees, and weather plan are reviewed.
Is a deposit required?
If a deposit applies, the written event proposal will show the amount, due date, remaining balance, and payment schedule before you accept it.
Are travel or logistics fees charged?
They may apply when the location, parking, toll or entry costs, carry distance, timing, equipment volume, or staffing adds work beyond the baseline package. Any fee should be disclosed in the written event proposal for the selected site.
Are taxes and service fees included in starting prices?
The written event proposal will itemize the package, optional services, taxes, travel, permit coordination, service fees, and other applicable charges so you can review the full price before accepting it.
Section 03
Package scope
Is photography included in the package price?
No. You can request photography as an addition, but it is not included by default. Provider availability, session length, image delivery and usage, cancellation terms, and payment responsibility must be confirmed in the written proposal.
Do packages include setup and cleanup?
Delivery, setup, breakdown, and cleanup apply to the supplied items listed in your accepted proposal. Guest-provided items, site restoration, unusual disposal, and additional time need clear responsibilities. You can request any catalog format; its exact setup and cleanup scope is confirmed individually.
Section 04
Locations and public beaches
Where does Solomia Events provide beach experiences?
The initial service area is South Florida, primarily from Miami Beach to West Palm Beach. Availability, travel logistics, and any location-specific cost are confirmed for the exact event site before confirmation.
Is a setup on a public beach completely private?
No. The furnishings and reserved service can be for your party while the surrounding public shoreline remains shared. A space is described as private or exclusive only when a verified property or authorized arrangement provides that control.
Are beach permits or approvals included?
Do not assume they are included. Requirements vary by beach, municipality, guest count, equipment, food service, sound, and event format. Any required coordination, fee, responsibility, and lead time will be identified in the proposal after the location is reviewed.
How is the event location selected?
The team compares the desired atmosphere with guest mobility, access, parking, carry distance, crowd conditions, equipment footprint, vendors, weather exposure, and nearby backup options. The final site is confirmed during planning rather than guaranteed from a city name alone.
Section 05
Weather and backup plans
What happens if the weather is unsuitable?
The written event proposal will state the forecast review window, who makes the decision, and whether the available option is rescheduling, relocation, a covered backup, or a reduced format. Safety takes priority, and any refund or rescheduling terms are specific to that proposal.
Can the event continue in strong wind?
Not every piece of equipment can be used safely in windy conditions. Shade, screens, tall décor, loose textiles, signs, and floral structures may need to be removed, changed, relocated, or rescheduled based on conditions and the documented safety plan.
Is an indoor weather backup included automatically?
No. A covered or indoor alternative is included only when it appears in the proposal and has been confirmed with the property. Availability, rental cost, vendor access, and the reduced or relocated setup must be agreed in advance.
Can events be planned during South Florida’s tropical-weather season?
Outdoor events can be requested throughout the year, but any seasonal weather or emergency guidance must be checked against current authoritative information close to the date. The event agreement should define cancellation, rescheduling, communication, and safety responsibilities without promising a specific forecast.
Section 06
Food and outside vendors
Is food included in every package?
No. Food, beverages, catering, and desserts are not automatic package inclusions. You can request them and share dietary needs. We will confirm whether a suitable provider and service plan are available; only items listed in the accepted written proposal are included.
Can guests bring their own food?
Do not assume guest-provided food is suitable at every site. Discuss the location rules, food handling, and waste responsibilities before confirmation. Guest-provided items are documented separately and do not turn a styled picnic setup into a catering or food-service package.
Does Solomia Events provide or serve alcohol?
Alcohol supply and bar service are not assumed or included by default. You may describe your preferences in the request, but any arrangement requires review of the venue, qualified provider, applicable requirements, insurance, service method, and responsibilities. We may be unable to provide this service.
Can we bring our own photographer, florist, or caterer?
You can request vendor coordination or tell us about a provider you want to use. We confirm whether the service, site access, timing, and responsibilities can work together before booking. An independently arranged service is not automatically a Solomia Events inclusion or approval.
Section 07
Guest access and safety
Can an experience be planned for guests with mobility needs?
The planning team can use mobility information to compare access routes, walking distance, surfaces, seating, shade, restrooms, drop-off, and private-venue alternatives. Sand itself can remain a barrier, so specific accommodations and their availability must be confirmed for the selected site.
Can children attend?
Children can be included when the event format is appropriate, but guardians remain responsible for supervision. The plan should account for water, heat, shade, age-appropriate seating, loose décor, food, activities, and the exact site conditions.
Section 08
Corporate and partner requests
How many guests can attend a Corporate Beach Day?
Send the expected guest count in a corporate inquiry. We review the venue, access, seating, restrooms, staffing, transportation, activities, and site requirements before confirming a workable group size and price. A form submission does not guarantee that we can accommodate the event.
Can a corporate event include company branding?
You can request branded elements and share your ideas. We confirm availability, design, production timing, installation, site approval, price, and removal responsibilities before anything is ordered. Branding is not included unless stated in the proposal.
Does Solomia Events work with hotels, concierges, and event planners?
Hotels, concierges, hosts, and planners can send a business inquiry through Contact or use the corporate form for a specific event. Partner and multi-vendor requests are reviewed individually. No partnership or approved-vendor status is implied unless documented with the named organization.
Still deciding?
Ask about the part that changes your plan.
For a useful answer, include the event type, approximate guest count, date, preferred area, budget, and whether weather backup or controlled access is important.
