How it works
Every format can begin with a planning request. Access, equipment, vendors, timing, weather, and scope are reviewed personally before a gathering is confirmed.
Seven planning decisions
Larger groups, custom fabrication, catering, and outside-vendor coordination can all be requested. The planning team reviews the resources and responsibilities needed before confirming, suggesting alternatives, or declining a request.
Share the event type, guest count, preferred date and area, working budget, accessibility needs, and the atmosphere you want. An inquiry starts the conversation; it does not reserve a date.
A usable planning brief
Choose any listed format and the additions you would like us to review, including food, photography, entertainment, or specialty décor. Share the guest count, date, and location. The planning team personally checks feasibility and availability before confirming any service.
A preliminary scope
The site is reviewed for access, parking, carry distance, crowd conditions, the picnic footprint, guest mobility, restrooms, public use, and any approval questions.
A workable site direction
The proposal should identify the setup, inclusions, exclusions, quantities, timing, charges, responsibilities, substitutions, weather choices, and the exact terms that apply to the gathering. Requested services are included only after the planning team confirms them in writing.
A written event offer
A date is confirmed only under the conditions stated in the event-specific proposal and agreement. Any required payment amount, schedule, or deadline must be disclosed there before acceptance.
Documented confirmation
Before the gathering, the team aligns the setup window, guest arrival, access instructions, guest needs, contact roles, forecast review, and the agreed weather or change path.
A final coordination plan
Solomia Events installs the confirmed setting before guest time, provides only the on-site service listed in the scope, then breaks down and removes supplied items and included event waste.

We confirm what we can provide, the location, date, and price before booking; if a service is not currently possible, we will tell you.
It is a planning baseline for the package, not a final event price or confirmation of availability. Location, parking, carry distance, guest count, site requirements, timing, and requested additions can change the total. The team confirms the deliverable scope and price in a written proposal.
No. The planning form provides a nonbinding estimated range for the options you request. Final pricing appears in a written event proposal only after availability, the date, location, setup details, logistics, fees, and weather plan are reviewed.
If a deposit applies, the written event proposal will show the amount, due date, remaining balance, and payment schedule before you accept it.
They may apply when the location, parking, toll or entry costs, carry distance, timing, equipment volume, or staffing adds work beyond the baseline package. Any fee should be disclosed in the written event proposal for the selected site.
